Our local client is seeking an Administrative Assistant for the main office and Head of School. The Assistant manages the Head of School's travel and meeting schedule, procures appropriate materials for all meetings, takes the minutes, takes the minutes at all administrative and trustee meetings, manages the flow of information and performs other duties as assigned such as sorting mail and taking incoming calls.
Manage flow of information and requests into and out of Head of school office
Support board meetings with necessary communications and reports
Type memos, correspondence, forms, and technical or confidential reports
Coordinate travel arrangements, including transportation and lodging
Procure, coordinate and/or prepare materials for meetings or for drafting memoranda, correspondence, talking points, agenda and other documents as needed
Attend staff meetings and events and take minutes as needed
Receive and screen incoming calls and mail, answer routine inquiries and route calls to appropriate individual
Coordinate calendars. Schedule and confirm appointments, meetings and travel arrangements
Review and answer standard correspondence
Greet and screen visitors and provide customer support, as needed
Order office supplies and other items for the offices
Help all departments with administrative work as assigned
Set up interview schedules for internal and external candidates
Coordinate the mailroom, sign for deliveries, coordinate distribution of mail.
Bachelor's degree with at least two years of relevant experience
Prior work experience in an office environment required
Demonstrated proficiency with office technologies required
High degree of professionalism and ability to handle confidential and sensitive issues with tact and discretion required
Ability to work occasional evenings and weekends with prior notice, required
Proficiency in Microsoft Word, Outlook, Excel and PowerPoint is required
Preference will be given to candidates with two or more years of experience as an Executive Assistant. The ideal candidate will possess excellent oral and written communication and organizational skills and significant experience in an office or administrative setting, preferably with experience at the executive support level
Salary up to 45k with a very generous benefits plan.
